Many online applications ask for a scanned signature next to your photo: a small image of your handwritten signature, often with an exact size in pixels and a tight limit in KB. This guide shows how to make one with just a pen, paper and a phone.
What forms usually ask for
The details vary, but a signature upload rule usually covers:
- File type: almost always JPG (JPEG), sometimes PNG.
- File size: often small, with a minimum and a maximum in KB.
- Pixels: sometimes an exact width and height.
- Colour: dark ink, usually black or blue, on a white background.
Read the rule on the form carefully and write it down before you start. For example, the India OCI application asks for the signature as a JPEG of up to 200 KB.
Step 1: sign on plain white paper
- Use plain white paper with no lines. Lined paper leaves marks that are hard to remove.
- Use a dark pen, black or dark blue, with a medium tip. A thin, pale ballpoint line can break up when the image is made smaller.
- Sign at your normal size, in the middle of the page, with space around it.
- Sign a few times and pick the best one.
Step 2: take a photo of it
- Put the paper on a flat surface in daylight, away from your own shadow.
- Hold the phone straight above the paper, not at an angle.
- Fill most of the frame with the signature, but do not cut off any part of it.
- Tap the screen on the signature to focus, and hold still.
Step 3: clean it up
A phone photo of paper is never pure white. It has grey shading, shadows and the texture of the paper, and all of that adds to the file size and looks untidy on a form.
In Clean up a signature, add the photo and SafeResize removes the paper and keeps only the ink. It also trims the empty space around it. If a thin stroke disappears, move the Lines slider towards Thicker; if the ink looks heavy, move it towards Thinner.
Step 4: set the size the form asks for
- For an upload form: choose the white background. If the form gives an exact size or a KB range, open "Does a form need an exact size?" and type the width and height in pixels and the file size range in KB. SafeResize then saves a JPG that fits.
- For signing documents yourself: choose the see-through background (PNG). It sits on the page without a white box around it.
Check the result screen. It shows the pixels and the file size so you can compare them with the form's rule before you download.
Step 5: use it
- Upload the JPG to the form.
- To sign a PDF, open Sign a PDF, add your signature, place it on the page and add the date if needed.
Keep your signature safe
A signature file can be misused like any copy of your signature. A few habits help:
- Keep the file somewhere private, not in a shared folder.
- Only upload it to official websites you trust.
- Do not send it by email or chat unless you have to.

A note on signing documents
A signature added this way is a simple electronic signature. It suits most everyday forms and agreements, but some papers, such as wills or documents that need a notary, need a different kind of signature. When in doubt, ask the organisation that asked for it.
